Editable attributes allow employees to select a segment from a list of given options at the start of the survey, in order to add themselves into a specific group. This article will cover the configuration of this.
To learn more about the functionality, see About editable attributes and how they work.
This article will contain:
- Creating a restricted and consent requiring attribute to be used in the survey (Peakon include add-on)
- Enabling editable attributes in the survey
- Targeting sensitive editable attributes (Peakon include add-on)
- Editing editable attributes
- Removing editable attributes from a survey
Creating a restricted and consent requiring attribute to be used in the survey (Peakon include add-on)
First, the attribute and its segment options need to be created. Once done, the segment options will appear alphabetically in the attribute drop-down menu when completing a survey.
To create an attribute and its segments:
- Go to Administration > Attributes
- Click on the Add attribute button
- Give the attribute a Name and choose Attribute type (see Introduction to attributes and segments for more on attribute types)
- Expand the Data access section
- Set Require employee consent as Required
- Set Employee attributes and Segment scores restriction settings (related resources: About editable attributes and how they work and Restricting access to attributes and segments)
- Tick the Prohibit further changes to this setting option, if needed
- Review the Targeted data collection section, if needed
- Review the Advanced setting tab, if needed
- Click on Save changes to save the attribute
- Once done creating the attribute, click Add segment to start adding the segment options
Considerations
- When creating a consent requiring attribute, the attribute is automatically made restricted both on the employee profile and the dashboard. This is to prevent sensitive personal data from being viewed on all manager dashboards. The restriction settings can also be locked in place, to avoid future changes.
- It is only possible to lock restriction settings in place during the attribute creation process.
- To lock an existing restricted attribute, you will need to create a new attribute with this setting enabled, re-import the employees and backdate them.
If needed, administrators can grant access to restricted attributes via access control groups. Only access control groups with visibility on restricted attributes will be able to segment these attributes. See Restricting access to attributes and segments for further details on how restricted attributes work.
To learn more about attribute configuration in general, see Configuration of attributes and segments.
Enabling editable attributes in the survey
All employees, regardless of survey channel, will be able to populate their selection instantly, with the exception of consent requiring attributes in kiosk mode (see About editable attributes and how they work for more information).
To enable an editable attribute:
- Go to Administration > Schedules
- Click View on the schedule requiring the editable attribute
- Click on the Attributes tab
- Add a customized message in the Message field with any translations, if required
- In the Attribute list, choose an attribute
- Set it to Optional or Required
- Preview the survey to see how the options look on the survey
The attribute is now available in the current or next survey round and will remain there until they are removed from the schedule. They can be re-added at any point, and this will not affect already collected data.
Targeting sensitive editable attributes (Peakon include add-on)
Targeting sensitive editable attributes allows administrators to target which attributes to ask employee groups to self-report on for their demographic data collection, whether this is on the same schedule or across multiple schedules. This gives administrators the ability to customize their demographic data collection based on the local legislation and the cultural norms in the countries they operate in.
To read more about editable attributes, please see About editable attributes and how they work.
To target sensitive editable attributes:
- Navigate to Administration, then Attributes
- Select the specific Attribute
- Click Edit
- Expand Targeted data collection
- Select segments in the "including" and "excluding" fields
- Save changes
As soon as the attributes have been targeted, set the attributes you want demographic data to be collected for on the survey schedule as outlined above. The targeting will be pulled across from the Attributes page and will be respected on the survey.
Editing editable attributes
It is possible to add or remove segment options from the editable attribute at any point, however, it is recommended to ensure they are set prior to the launch of a survey round.
To edit the segment options:
- Go to Administration > Attributes
- Open the specific attribute
- Now you can add, remove or edit the segment options
Removing editable attributes from a survey
Once the attribute should no longer be shown in the survey, it can be removed from the schedule.
To stop an editable attribute from being asked in a survey:
- Go to Administration > Schedules
- Click View on the schedule requiring the editable attribute
- Click on the Attributes tab
- Under the Attribute list section, click Remove on the attribute you wish to no longer use in the survey
This will not affect already collected data and it can be re-added at any point.
Additionally, once the attribute data has been collected, administrators can mark the attribute as inactive by switching the status option in that attribute's edit panel. This ensures that no one (including the administrator) can view this data on the employee record. Survey data will remain in the dashboard until it falls out of the visibility window.
